We get it—life happens and plans change! We always want to be as flexible and supportive as possible while ensuring your equipment is locked in and ready to roll. The guidelines below outline how we handle bookings, cancellations, and adjustments for all rentals with Vibe Event Company, LLC.
1. Cancellation & Flex Policy
To cancel or modify any part of your order, just drop us a line in writing! Because we immediately take your reserved items out of our active inventory and turn away other parties for your date, the following terms apply to both full and partial cancellations:
- The Booking Deposit: Your initial deposit is non-refundable under all circumstances, as it officially locks in your gear and secures your event date.
- More Than 30 Days Out: If you cancel your event more than 30 days before your scheduled date, we will happily refund any extra payments you’ve made beyond the initial deposit.
- Within 30 Days of Your Event: Because it is incredibly difficult to rebook equipment on short notice, any cancellations made within 30 days of your event are not eligible for a refund, and all payments made to date will be kept.
- Final Payment Timing: To keep your reservation active, final balances must be paid by the 1st day of the month prior to your event month. For example, if your fall block party is scheduled for October 15th, your remaining balance is due on September 1st. Missing this deadline without chatting with us first will cause your event to be cancelled and your payments forfeited.
2. Custom & Special Requests
Want something unique that isn't currently in our inventory? Vibe Event Co. is always thrilled to hunt down and purchase custom equipment at the renter's expense! Because these items are bought specifically for you, any order containing a special request becomes 100% non-refundable immediately, overriding our standard 30-day cancellation policy.
3. Weather Policy
While we can't control the elements, we want your party to be a success! We do not offer refunds due to bad weather unless hazardous road conditions make it completely unsafe for our trucks to deliver or retrieve your gear. If bad weather forces you to cancel your event, we may—at our sole discretion and subject to inventory availability—issue you a credit to use toward a future date!
4. Delivery Day No-Shows or Refusals
We show up ready to bring the energy! If no adult is present during your scheduled delivery window, or if equipment is refused upon arrival without prior written notice, no refunds will be issued. If we have to loop back for a second delivery attempt, additional trip fees will apply.
5. Fast & Fair Refund Processing
If a refund is approved, we don't hold onto your cash. We will push it right back to your original payment method within 5–10 business days. Just keep in mind that banks and credit card processors can sometimes take a few extra days to clear things on their end!
6. Quick-Fix Equipment Guardrail
We deep-sanitize and inspect every piece of gear before it leaves our hands, but if anything is missing or not working perfectly upon delivery, let us know immediately! We will pull out all the stops to fix it right away. Refunds or credits will only be issued if the glitch was on our end and we couldn't resolve it in time for your big event.
